Job Description

Holmes Miller is a leading architectural practice which currently employs almost 100 staff with 75 based in the UK from its design studios in Glasgow and St Albans together with 25+ Staff in Guangzhou (China). Our design studios have a friendly, welcoming and nurturing ethos that promotes a secure working environment within which all are challenged in an open and transparent manner to capitalise on each individual’s strengths and uniqueness.

We are seeking to employ an office based Administrative Assistant based in our Glasgow Studio.

Reporting to the Office Manager, this role will support the administrative team to ensure smooth operation of a busy architectural practice.

The Administrative Assistant role involves:
• Acting as Practice Receptionist, welcoming visitors by greeting them, in person and on the telephone
• Answering incoming calls, directing to colleagues or taking messages
• Dealing with all incoming and outgoing mail (including signing for deliveries)
• Filing, scanning, printing, photocopying and binding
• Stationery stock taking and monitoring office supplies
• Set-up and clearing of meeting rooms, preparation of refreshments and lunches
• Administrative tasks, including, but not restricted to arranging travel, booking courses and maintaining databases
• Provide project administration support to technical staff
• Any other tasks as directed by the Office Manager

The working hours are full-time, Monday to Friday 8 hours per day with flexibility around start and finish times.

The Practice operates a 9 Day Fortnight with employees receiving an agreed day off every 2 weeks.
