Job Description

To provide administration support to the HR function of Impact Arts across a number of key areas including recruitment, induction and maintaining employee records

Key Responsibilities

You will be expected to perform some of the following duties and responsibilities on a daily basis and others as and when required relating to the needs of the business.

Your main responsibilities will be:
• To assist with recruitment tasks including advertising vacancies, monitoring the jobs@ inbox, administration relating to live vacancies and arranging interviews
• To carry out reception duties including taking incoming calls, monitoring the mail@ inbox, greeting visitors and mail duties
• To assist with the sourcing and organisation of internal/external training sessions
• To input data into Impact Arts HR App ensuring compliance in data retention and accuracy for reporting
• To organise staff inductions
• To prepare contracts for freelance staff, ensuring that these are completed in line with legal time requirements
• To support with PVG and Disclosure administration
• To provide line management support and training to new admin staff within the organisation
• To ensure that all calendars and spreadsheets relating to staff annual leave and sickness are kept up to date (through Impact Arts App)
• To provide monthly reports to the Senior Management Team relating to staff annual leave
• To update staff training records
• To update salesforce records with information relating to staff training, PVGs and Disclosures
• To run quarterly reports from Salesforce & HR App relating to staff records, and flag key missing information to relevant staff
• To maintain the HR filing system and ensure that physical files are GDPR compliant
• To assist the finance team with tasks when required
• To provide administration support to the Senior Management Team and Impacts Arts’ team where necessary to ensure efficiency and effective communication and support eg maintaining list of IA’s memberships
• To represent Impact Arts at events
• To participate in training, meetings and events as required
• To support and promote Impact Arts’ Values
• To carry out any other duties appropriate to the post and in line with the needs of Impact Arts

Established in 1994, Impact Arts is an innovative Scottish arts charity tackling inequalities in a diverse range of communities through unique creative engagement techniques, including painting, drawing, printmaking, sculpture, photography, filmmaking, animation, and music.

Impact Arts specialises in using creative engagement to address the challenges of poverty, improve health and as a way to excite, involve and deliver meaningful impacts for each member of the communities we work in. The common challenge faced by all is that of poverty and its side effects, particularly poor mental health and life chances.

To achieve our aim of tackling inequalities through creative engagement, Impact Arts offers a number of services, including those working with young people, children, older people and communities. Key services include:

·Creative Pathways, our highly successful flagship Stage 2 employability programme for young people using creative engagement
·CashBack to the Future, a diversionary youth project offered over summer and year-round for school-age young people, funded through CashBack for Communities
·Artist Mentoring Programme, training artists who are currently unemployed or under-employed and focuses on a structured programme of training and hands-on experience in participatory arts practice, reaching hundreds of people in communities via bespoke community projects.
·Art Therapy, offering a safe, relaxed space for children affected by adverse child experiences to express themselves through creativity and play.
·Creative Play - outdoor creative play designed to encourage children to develop creative skills, confidence outdoors and help them make new friends. Can involve a wide range of activities such as sculpture, treasure hunts, storytelling and painting.
·Craft Café - working with older people in Govan, Glasgow and Viewpoint, Edinburgh to help them learn new skills, renew social networks and reconnect with their communities through artistic and creative expression.
Community Consultation - facilitating community consultation events featuring local residents, enterprises and partner organisations using creative methods to engage the community on various different topics.

We have over 50 staff and 100 sessional artists working on services across Central Scotland with our Head Office in Glasgow City Centre as well as a permanent base in Irvine, North Ayrshire, and services currently offered in Edinburgh, North Lanarkshire, Renfrewshire, West Dunbartonshire, Falkirk and East Ayrshire.

We work with multiple partners and funders all with a strong shared ethos that #artchangeslives. We are supported on an annual basis by over 40 funders including Scottish Government, CashBack for Communities, Skills Development Scotland, Creative Scotland, National Lottery Community Fund, multiple local authorities, as well as nd a range of other foundations and trusts such as the Corra Foundation.
