Job Description

To undertake general office based administrative duties, such as reception duties; actioning, forwarding or responding to emails; maintaining and developing filing systems; procurement of office supplies, setting up and notifying relevant people of meetings, typing and formatting reports and correspondence.

Key Responsibilities

Working to support the Care Manager, Care Supervisor and carers and in collaboration with the befriending team;
to be the first line of contact to service users online and via telephone.
be responsible for performing a variety of administrative and clerical tasks to provide support to the Care Manager, Care Supervisor and carers.

Collect timesheets from carers and managing rota
Assist in Care Management administrative duties
Support and implement HR processes including recruitment and selection and requesting references for carers

Key Skills

Planning and organisation skills, including ability to prioritise, review and work under pressure to specific timescales and targets and see tasks through to a timely completion.
? Good spoken and written communications skills with the ability to effectively communicate via phone and email ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner.
? Ability to use Microsoft Office computer packages (Word, Excel and Powerpoint) email and internet , experience of working with a database and of using social media.
? Ability to work with older people.
? A non-judgmental outlook with the ability to handle difficult situations with sensitivity.
Problem solving skills
? Good listening skills and must be able to listen to resolve a customer's problem actively.
? Strong customer service ethos to manage expectations and deal with the frustrations that accompany technical troubles require and maintain patience and communication skills when working with volunteers and service users.
? Ability to quickly establish good working relationships with volunteers and service users
? Willingness to sometimes work unsociable hours.

Experience & Knowledge

Experience of administration or care administration or relevant administration qualification.
? Reception/telephone call handling or customer service experience.
Customer services-help clients and carers with complaints and questions, give clients information about services and enquiry follow process; Escalate unresolved issues to the appropriate internal team member; Collect prompt and accurate feedback from clients.
? Experience of data capture and input, developing, updating or maintaining filing systems.
? Ability to monitor and maintain accurate records.
? Ability to work as part of a team, on own initiative and be self motivated.
? Understanding of and experience of engagement with diverse ethnic minority groups including those for whom English is a second language.
